Xero Integration

A two-way sync between OfficeTidy and your Xero accounting software — new customers/invoices/bills flow in from Xero, and paid invoices/expenses recorded in OfficeTidy flow out to Xero.

Connecting

From the Financials/Office Admin menu, choose Connect Xero (alongside "Connect Inland Revenue (IRD)"), which opens Xero's own secure login and organisation picker.

Importing from Xero

Happens automatically once connected, and repeats every 24 hours in the background; also available on-demand as a "Full Xero Sync":

• Contacts → OfficeTidy customers (name, address, phone, email only — an existing customer's job history, bookings, and pricing are never touched by a re-import, only their identity details refresh).
• Invoices → Earnings records.
• Bills → Expense records.
• Fixed assets → Depreciable assets.

A manual sync reports back exactly what came in, e.g. "Xero import complete: 12 customers, 8 invoices, 3 bills, 1 asset."

Exporting to Xero

• Recorded invoices/payments and expenses are pushed to Xero as real Invoices/Bills. Automatic export runs on recent activity (last 48 hours); a manual "Full Sync" pushes everything.
• Export mode toggle — choose Auto-Authorise (sent to Xero as finalised) or Draft (sent for your accountant to review and approve inside Xero before it's final), switchable anytime.
• Every exported invoice/bill is tagged with a "Job" tracking category in Xero, named per booking — so you get per-job profitability reporting directly inside Xero's own reports.

Interaction with GST/Tax filing

If Xero is connected, filing a GST or Income Tax return directly from OfficeTidy shows a recommendation instead: "You are connected to Xero. To ensure your accountant's adjustments (like private use or entertainment) are included, we recommend filing this return directly in Xero," with the option to open Xero or still view the raw OfficeTidy figures.

Disconnecting

From the same Xero connection menu, Disconnect Xero, with a confirmation prompt.
