Tips for Power Users

Shortcuts and lesser-known behaviours worth knowing once you're past the basics.

A customer can have unlimited bookings. Every job/visit is its own Booking under a Customer — perfect for regulars with a recurring schedule, each visit tracked and invoiced separately.
Set up Default Line Items once per customer. Add your standard line items on a Customer's profile and every new booking for them starts pre-filled.
Job history is always one tap away. The History icon on an open job shows every change ever made to it — who edited what, and when.
A booking locks itself once truly complete. Once a job is marked complete and invoiced, it becomes read-only.
The safety banner isn't just decoration. If a JHA hasn't been completed for a job, a banner appears right on the job screen linking straight to the form.
Swipe a booking away to delete it from a Customer's booking list — no need to open it first.

Deleted customers aren't gone for good. Settings → View Archived Job Cards lets you restore any customer you've removed, any time.
Contractor pricing visibility is per-person, not all-or-nothing. Grant an individual Contractor "Show Job Pricing" access in Manage Staff Accounts if they're paid a percentage of the job.

Let the app catch your GST settings drifting. If Inland Revenue's own records show a different filing cycle than what you've got saved, OfficeTidy flags the mismatch and offers to fix it.
"What can OfficeTidy do for my business?" — under Tax Settings, tells you exactly what is and isn't supported for your specific business structure.
Filed a return with a mistake? Unlock a filed GST or IR3 period for amendment right from its receipt, with your reason recorded.
Connected to Xero? Filing defaults to Xero. OfficeTidy will actively suggest filing there instead so accountant adjustments aren't missed.
Overdue returns are summarised, not spammed. Only the soonest-due periods show individually.

Low-value assets pool themselves automatically once under the $5,000 threshold, using the correct (lowest) rate among everything in the pool.
New assets bought after 22 May 2025 get the Investment Boost automatically.
Vehicles apportion themselves too. Mark an asset as a vehicle and set your business-use %, and both running costs and depreciation claim scale down together.

One bank deposit can pay off several invoices at once.
Swipe to hide, not delete. Transactions you'll never need to reconcile can be swiped away, with UNDO right there.
Made a matching mistake? Long-press it for an Unlink option.
Tap a reconciled transaction to see both sides — the bank record and whatever it's linked to.

Every exported job gets tagged automatically with a "Job" tracking category, for real per-job profit reporting in Xero.
Choose Draft or Auto-Authorise for exports — switch to Draft any time if you want your accountant to review everything first.
Re-importing a Xero contact never overwrites job history. Only name/address/phone/email refresh.

Bookings must be restored after Customers, not before — bookings link back to customers by ID.
You control exactly what's exported. Customers, Bookings, Office Data, and Health & Safety records can each be exported separately, encrypted or as plain-text CSV.
Automatic daily backup runs quietly in the background (Android) once enabled — Wi-Fi and charging only.

Print a whole sticker sheet in one go, not just one QR code at a time.
Scanning a supplier document can add materials automatically, rather than typing each one in by hand.

The dashboard chart isn't just a summary — it's a trend, tracking accidents vs. near-misses over time.
Near misses are as easy to log as accidents, with their own dedicated quick-entry form.

Add more than one company/account on the same device with "Add Account".
The home screen widget stays live, reflecting today's jobs without opening the app.
Face ID/fingerprint sign-in survives logging out — it's there specifically for when your session goes stale from not opening the app for a while.
